Prostay AIWhat it knows

Teaching it about your property: Learning Material

The assistant starts knowing nothing about your hotel. This is the screen that changes that: documents you upload, questions and answers you write out, and an optional read back through your Nexus mail history. It is the screen worth the most of your time.

An assistant with no learning material can tell a guest whether you have a room free and nothing else. It does not know when breakfast is served, whether you take dogs, or how far the beach is. Learning Material is where you tell it, and an hour spent here is worth more than every other screen in the module put together.

Three ways to teach it, in order of value

The screen offers three, and they are not equally useful:

  1. Questions and answers. You write the question and the answer you want given to it. The most direct and by far the most reliable.
  2. Documents. You upload a file and it reads it. Good for the things already written down, like a guest directory.
  3. Nexus history. It reads back through the guest email you have already sent and received. Broad, free, and the least predictable.

If you only do one, do the first. Twelve good answers to the twelve questions your front desk actually gets asked will change more than a hundred pages of uploaded PDF.

Questions and answers

The frequently asked questions table on Learning Material. Columns read FAQ Name, FAQ Answer, Date Added and Added By. Ten rows are shown, beginning What time is check-in? with an answer starting Check-in is from 3pm, and What time is check-out? with an answer starting Check-out is by 11am. Every answer is cut off with an ellipsis where it runs past the column. Dates run from 08/06/2026 down to 08/03/2026 and Added By reads Priya Raman or Claire Bennett.
A question and the answer you want given to it. This is the most direct way to put words in the assistant.

Add New opens a two field form: the question, and the answer. Both are free text and neither has to match how a guest will phrase it, so write the question the way you would say it out loud.

The grid pages at ten. The answers are cut off where they run past the column, so the list is for finding an entry rather than reading one; the row menu at the end opens the whole thing for editing. Date Added and Added By are there so that six months from now you can tell who wrote an answer that has gone out of date.

Writing an answer worth keeping

The answers that work are specific, complete, and written as though a guest will read them, because one will. Some patterns worth copying:

Instead ofWrite
Late check-out is available. Check-out is by 11am. Late check-out until 2pm is 40 USD when availability allows, and the front desk will confirm it on the day.
Yes, we have parking. Valet parking is 45 USD per night with unlimited in and out. There is also a self-park garage two minutes away at 28 USD.
Pets are welcome. We welcome dogs under 20kg for 75 USD per stay. Please tell us in advance so we can put you in a suitable room.

Two habits are worth adopting from the start. Put the number in: a price, a time, a weight. And name the limit: when availability allows or please tell us in advance is the difference between an answer that helps and an answer that commits you to something you cannot deliver.

Uploading documents

The UPLOAD DOCUMENT block on Learning Material. A dashed drop zone reads Click to upload or drag and drop, and below it in smaller grey text, Image File (max. 300 by 165 pixels).
The drop zone takes the documents you want the assistant to read. Its hint has nothing to do with them.

If the UPLOAD DOCUMENT block is not on your screen, your role does not include the permission for it, and you can read what the assistant has been taught without adding to it. An administrator can add it from Users in System Settings, under Prostay AILearning material.

The ACTIVE AI DOCUMENT table on Learning Material. Columns read File Name, File Description and Date Uploaded. Four rows: marlowe-guest-directory-2026.pdf, Room service, spa, laundry and pet policy, 06/02/2026; breakfast-and-restaurant-hours.pdf, Serving times for The Terrace and the lobby bar, 06/18/2026; parking-and-directions.pdf, Valet rates, self-park garage, airport and rail directions, 07/09/2026; cancellation-and-deposit-policy.pdf, Deposit rules and the 48 hour cancellation window, 07/28/2026.
Everything the assistant has been given to read, with the description you wrote for each one.

Everything you have uploaded is listed under ACTIVE AI DOCUMENT with the description you gave it. Write that description for a person: Room service, spa, laundry and pet policy tells you what is in the file, where directory tells you nothing and will not help you decide what to replace next year.

Documents are best for material that already exists in a settled form, and worst for anything with a price in it that changes. A rate sheet uploaded in January is a confident source of wrong answers in June, so prefer a written answer for anything seasonal and keep documents for the durable things.

Reading back through Nexus

The LEARN FROM NEXUS HISTORY block on Learning Material. A switch labelled Enable learn from Nexus history is on. Below it a field labelled Nexus history one time crawl holds a dropdown reading Default - 3 month, and under that a small line reads Last time crawled: 08/12/2026.
Nexus is the mailbox your guest email already lives in. This reads back through it rather than asking you to retype what is in it.

Nexus is Prostay's own mail engine, the inbox your guest email already arrives in. Turning on Enable learn from Nexus history lets the assistant read back through that correspondence, on the reasonable theory that the answers your team has already typed a hundred times are the answers a guest wants.

Nexus history one time crawl chooses how far back to go, from one to four months. Last time crawled underneath tells you when it last ran, or never if it has not.

What Save Changes actually saves

This screen is account-wide

Where to go next

Once it has something to say, the next question is how it says it. That is two screens, and they are covered together.

Common questions

  • I uploaded a document and did not press Save Changes. Did I lose it?

No. Documents and questions save through their own endpoints the moment you add them, so it is already in the list and already live. Save Changes on this screen commits only the two Nexus history fields, the enable switch and the number of months.

  • Why does the upload area say it wants an image of 300 by 165 pixels?

It is leftover wording from a different control and it does not describe what this uploader accepts. Upload the document you intended to upload. We have reported it so the hint can be corrected.

  • What is Nexus?

Nexus is Prostay's own mail engine: the mailbox your guest email arrives in and that your team works from in the unified inbox. There is no separate Nexus product to open. Wherever a screen says Nexus, it means that mail.

  • Should I use documents or write answers?

Write answers for anything a guest asks often or anything with a price or time in it, because you control the words exactly. Use documents for settled reference material that already exists as a file. If you have limited time, twelve written answers beat any amount of uploading.

  • I run three hotels. Can I give each one its own answers?

Not on this screen, which is shared across every property in your account. The workaround is to write the property into the answer itself, naming each hotel and its own times or prices, so a guest gets a correct answer whichever one they are asking about.

  • How do I stop the assistant using an out of date document?

Remove it from the ACTIVE AI DOCUMENT list using the menu at the end of its row, and upload the replacement. Nothing expires on its own, so anything with a season or a tariff in it needs a reminder in your own calendar.
