Room moves and split stays, rate overrides with an approval trail, and a sharper waitinglist.

This release is about the messy middle of a stay, the part where plans change after the guest has already checked in. You can now move a guest to another room mid-stay, split a stay into segments or a multi-room booking into separate reservations, and separate a shared folio so everyone leaves with their own invoice. Rate overrides gain reason lists, an approval step and a dedicated audit report. The waitinglist grows up too: every requested room is now a full line item with its own dates, guests and rate plan, priced automatically from your rates.

A family arriving a day before the rest of the group, or two rooms on different plans, is recorded exactly as the guest asked for it. Change the room type, the plan or the dates and Prostay quotes the price from your rate plans automatically, and you can still type over it.

    Move a guest to another room mid-stay, split a stay into segments, or break a multi-room booking into separate reservations with the deposit shared across them. Conflicts are checked before the move lands and the move can be undone. Shared folios can be separated so each guest leaves with their own invoice, and a Room Move Sheet on the dashboard and in housekeeping tells the floor which rooms change hands today.

    Rates can now be edited as a reservation is created, governed by settings you control: turn the override on or off, and require a reason from a list you define. Overrides can be put behind an approval step, and a new Room Moves and Rate Overrides report shows every move and every override with filters and PDF or Excel export.

A waitinglist for the dates you cannot sell, and housekeeping rebuilt around the daily task sheet.

Two substantial additions to the PMS this week. When you are sold out, you can now keep the enquiry instead of losing it: the waitinglist records what the guest wanted, watches your calendar for the moment those dates open up, and turns the enquiry into a booking without anyone retyping it. Alongside it, housekeeping grows from a status board into a full operations module, with task sheets balanced by cleaning credits, an attendant view built for a phone, guest service requests on an SLA clock, maintenance work orders and a Lost and Found register.

    Introducing the reservations waitinglist. When you cannot take a booking, record the enquiry instead of turning it away: guest details, the rooms and dates they wanted, where they came from, a priority and an expiry date, with follow-up notes kept on the entry. Prostay checks each enquiry against your calendar and marks it available, partly available or not yet, and the same signal appears on the calendar and above your reservations list so nobody has to remember to look.

    When the dates open up, convert the enquiry in place. A waitlist entry becomes a confirmed reservation, a tentative booking, or a courtesy hold that reserves the room without confirming it, all through the flows your team already knows, carrying the guest, dates, rooms and notes across with it. Who can view, create, edit and remove entries is set per role, and every change is recorded in the activity log.

    Housekeeping now plans the day for you. Generate task sheets for any date and Prostay spreads the work across the attendants on shift, balanced by cleaning credits you set per room type, with departure rooms, rooms staying another night, turndown service and public areas all on the sheet, and attendants kept to their usual floors where it can. Sheets print one attendant per page for the teams who still want paper on the cart.

    Attendants get a screen of their own, built for a phone: the room, what it needs, and start and finish buttons that time each clean. When an attendant reports a room as vacant or occupied, Prostay flags the rooms where housekeeping and the front desk disagree. Those timings feed a new housekeeping productivity report, and a forecast view turns your arrivals and departures into rooms to clean, cleaning credits and the number of attendants you will need.

    Three registers that used to live in notebooks are now in the PMS. Guest service requests carry an SLA countdown that turns amber and then red as the clock runs down. Maintenance work orders track priority, team, due date and cost, can place a room out of order when raised and release it back to dirty when resolved, and can repeat on a preventive schedule. Lost and Found records what was left behind and follows it from stored to claimed, returned or disposed.

Instant Site launches: build and publish your hotel website from Prostay.

This week we are shipping a brand-new product. Instant Site is a website builder made specifically for hotels, living right inside your Prostay dashboard. It drafts a complete website from the property data already in your PMS, gives you six designed templates and a drag-and-drop block builder, and publishes fast, SEO-ready pages with live rooms, rates and availability wired into the booking engine. Alongside the launch, this release brings a round of UI improvements across the platform and a set of upgrades to the financial reports.

Our biggest release in months. The whole system has been redesigned for faster, calmer hotel operations, with cleaner layouts and fewer clicks on every screen. Reservation editing is now governed by roles and permissions, so changes stay in the right hands with a full audit trail. Prostay Nexus and the Booking Engine both get fresh interfaces, and the Booking Engine adds a gallery of templates you can choose from instead of a single fixed design. And we are launching Dive Center Management, a brand-new module that brings dive operations into the same ecosystem as the rest of the property.

Three threads ship together this week. Reservation Detail gets full room sharer mapping, instant lead-name sync on the calendar, and a fix for the Add Guest control that would not render on smaller screens. A new Transaction Report module lands in Insights alongside net-revenue year-over-year comparisons, a fix for the Reservations by Rate Plan report, and tax and service columns now included in every report-dashboard export. Accounting cleans up estimate, invoice, and All Sales printouts, locks the room rate during transfer posting, and adds ascending and descending column sort across every accounting table.
